Booking of eMOs


All the Postmaster and Sub Postmaster of computerized offices are here by directed to do the following to ensure cent percent booking of MOs only through eMO.

*      All the computerized Pos are instructed to have sufficient no of  eMO forms only.

*      All POs should book compulsorily all MOs through eMO and no ordinary MO should be booked.

*      Customers may be requested to avail eMO service only.

Placing of indent directly to PSD for supply of all type of barcodes


All the head of the offices (SPMS/PMs) are hereby directed to place indent to the Superintendent, PSD, Coimbatore - 641018 directly for supplying the Speed post, Registered Post, Foreign Post, EPP barcode Stickers and Bag labels.

The indent should be made well in advance every month for the above items along with the required information

1.   Name of the item required
2.   Quantity required
3.   Date of last supply
4.   Present stock on hand

        Please note that the consumption rate should be based on the previous month’s statistics.

Revision of special allowance and cash handling allowances

Supply of Mutpot, handfan and tumblers


SPOs, Namakkal has approved to purchase one Glass Tumbler and one hand fan to all the eligible departmental official for this year at the following rates.

1.   Hand fan       -not exceeding Rs.10/- (one for each official)
2.   Glass tumbler -not exceeding Rs.10/- (one for each official)
3.    Mut Pot    -  not exceeding Rs.50/- (1 no for SO, 2 No for HO)

The expenditure should be incurred and charged in the account on or before 30.09.2011 and compliance report should be sent to this office with details regarding number of item purchased, name and designation of officials to whom supplied and the total expenditure incurred.

Sir / Madam,

The undersigned is directed to refer to this office letter of even number dated 30.6.2011 (SB Order No. 11/2011) on the subject and to say that this order was issued on receipt of complaints in this office as well as Min. of Finance (DEA) regarding deliberate splitting of amount to increase number of accounts. On receipt of various representations, the matter has been re-viewed and it has been decided to withdraw the restriction. However, it is requested that deliberate splitting of cash at the time of opening of account/purchase of certificates may be avoided.

2. This issues with the approval of DDG(FS).

Departmental Scholarships for Technical / Non Technical / ITI education to the children of Postal employees including GDS for the year 2011-12


Applications in the prescribed form ( specimen enclosed ) for granting departmental scholarships for Technical / Non Technical education & ITI courses to the children and dependent brothers and sisters of Postal Employees including Extra-Departmental staff and staff of Departmental canteens for 2011-12 are invited from all eligible officials. Applications are also invited for scholarships for their physically handicapped / mentally retarded children who are studying in schools (including primary schools) or colleges or undergoing training in the institutions for the handicapped.

The conditions for granting scholarships are:

1.   Basic pay plus grade pay of the official should not exceed Rs.25,120/- (including the pay of the spouse, if he/she is employed)

2.    Technical or Non – Technical scholarship can be awarded to only one of the ward of an official. However, claim for award of scholarship to more than one ward can be considered, only if there are enough funds available after awarding scholarships to all the applicants.

3.    If the ward of the official is in receipt of scholarship or of financial assistance / free scholarship if any from any other source, he / she is not eligible for departmental scholarship.

4.    Degree courses in Fine Arts will also be eligible for non – technical scholarships. But P.G Courses and +1 and +2 courses are not eligible for grant of Departmental scholarship. Officials already in receipt of scholarships for their wards need not apply afresh for the same ward.

6.    ELIGIBILITY : The ward should have got the following minimum percentage of marks in the qualifying examination. Those who obtained lesser percentage need not apply.

7.    Instructions for filling up and forward the applications :

(i).The signature of the head of the Institution / College and the signature of the Head Postmasters concerned should be obtained in the application form.

(ii).The applications should be submitted along with necessary attested copies of certificates.

(iii).Basic pay and grade pay should be shown separately at column 4 (a) & (b). He / she must furnish the pay or write NIL or write spouse not employed.

(iv). If the official already getting scholarship for another ward, the sanction memo No. and date should be furnished to Col.F of the application.

(v).All the applications should be forwarded through the Head Postmasters concerned and not to this office directly. While forwarding the applications to this office the Postmaster should confirm whether the official is contributing to the Circle Welfare Fund regularly.

(vi).The applications received at Head Post Offices should be submitted in one bulk to this office on or before 26.09.2011.

            This may be please be given wide publicity and circulated to all the officials including GDS and officials who are on leave, deputation, training etc., without fail. Any compliant regarding non circulation of this circular received at a later date will be viewed seriously and any applications received after the due date will not be entertained.

Volunteers for Physical trainer, PTC, Madurai


Volunteers to work as Physical Training Instructor, PTC, Mysore

1. Applications in the prescribed proforma enclosed are invited from eligible officials to work as PHYSICAL TRAINING INSTRUCTOR at PTC, Madurai on deputation basis for a period of 3 years. PAs with a minimum of 8 years of service is eligible to apply.

2. Officials should have passed in the matriculation or an equivalent examination. He should possess a certificate in physical education from a recognised institution.

3. Occupation of quarters and stay within PTC campus is compulsory. The declaration to this effect should be furnished in the proforma prescribed in the application form.

          4. This may please be brought to the notice of all eligible officials working in your office including those who are on leave, deputation, training etc without fail. Applications of willing officials have to be submitted to DO on or before 09.09.2011. Willing eligible officials may please contact D.O for proforma.

              Consequent on the impending loss of business relating to OAP money orders from September 2011 there will be a drop in revenue to the circle. The drop can only be managed by sourcing additional revenue through procurement of RPLI policies.

          Hence the revised RPLI targets fixed for the year 2011-12 is given below:

           In our effort to make our establishment viable by procuring business, not all BOs have contributed, as a result of which many of the BOs in our Region continue at unremunerative level. As per rule, even a GDSMD, a GDS packer, a GDSMC can procure RPLI business which will not only help turning the office viable but also earn incentive income for the GDS.

The strategy for achieving the target takes in to account the first year premium as well renewal premium and the target may be achieved by a combination of new policies and live policies. Here one should not ignore revival of lapsed policies. Mere procurement of micro policies just to achieve the target of no of policies will not lead us anywhere. The criterion to check whether targets have been achieved is whether your Sub Division has earned premium income as mentioned above or not. Achieving target relating to number of policies should be a means to an end and not the end in itself.

Without waiting for the financial year to approach the last quarter, please take action in advance and achieve the target by December 2011.

The GDSBPM, Pettapalayam BO a/w Mohanur SO has lost his office date stamp and seal on 10.08.11.  Hence all  the PM and SPMs are requested to guard against the misuse of stamp and seal to avoid fraudulent nature of activities.

HINDI DAY CELEBRATION ON 14.09.2011


Celebration of Hindi day for the year 2011
                       
September 2011 will be celebrated as the Hindi Month 2011 in our Tamilnadu Circle.

Hindi is the official language of the Union Government of India. Learning Hindi and using it for official purposes is our professional responsibility.

It is proposed to conduct the following competition at this office.
